FAQ

Questions, answered honestly.

Including the ones where the answer is “not yet”. You would find out in week one anyway.

What does Surplu do?

It tells you what each job actually made. You bring in your income and costs, decide which job each one belongs to, add the hours worked, and Surplu works out the real cost, margin and profit for every job.

Does it replace Xero?

No, and it is not designed to. Xero stays your accounting system of record. Surplu sits alongside it, reads the data you permit, and answers a question Xero does not: which job was that, and did it make money?

Does it reconcile my bank transactions?

No. Bank reconciliation stays in Xero. Coding a transaction to a job in Surplu is a separate activity and does not change your accounting records.

What data is imported from Xero?

The accounting and transaction data you authorise at Xero — transaction records, contact names and account settings. Surplu only reads; it never writes back. It does not receive your bank login details: bank data reaches Xero through Xero’s own arrangement with your bank, and Surplu only sees what Xero already holds.

Can employees enter their own time?

Not yet. Time is entered by whoever is running the business in Surplu, on behalf of the person who did the work. There is no separate employee login today.

Can labour be split across jobs?

Yes. A single shift can be split across several jobs, and the split is costed at the approved pay rate for that period.

Can expenses be split?

Yes. One supplier bill can be divided across as many jobs as you need, and the parts must balance to the cent before it will save.

Can I invite my accountant?

Yes. Add their email address in Settings and Surplu emails them an invitation. They sign in or register with that same address and accept it, and then they can work in your books. Accountant access is full access to the business, not a restricted view. Remove it any time.

How does the free trial work?

You get the full product with no job limit, and no credit card is needed to start. When the trial ends, access to the application is restricted until you choose a plan. Nothing is deleted — your data is waiting for you.

What happens if I subscribe partway through the trial?

Your trial is not restarted and not extended. Billing is set to begin when the trial would have ended anyway. If fewer than two days remain, Stripe cannot carry the date over, so billing starts immediately — and Surplu tells you that before it sends you to the payment page.

What happens when I disconnect Xero?

The stored connection is removed and we ask Xero to revoke our access. Transactions already imported stay in Surplu, along with the jobs you coded them to. Nothing in your Xero account changes.

Can I delete my account or my business?

Yes, from Settings. You can leave a business — which removes your access and changes nothing in its records — or, if you own it, delete the business and its records outright. Deleting is permanent. Deleting also cancels a paid plan with Stripe: the plan ends when the period you have already paid for ends (straight away if a payment is overdue), nothing more is charged, and the unused part is not refunded.

Where do I find setup instructions?

In the guide. It walks through creating your business, connecting Xero, coding transactions, labour and reports, step by step.

We measure our advertising

These public pages use a Meta (Facebook) pixel, so we can tell which ads bring people here and which lead to a sign-up. It tells Meta which of these pages you visited, and when you sign up or join our waitlist, but never your name or email. Meta stores that in the United States, where Australian privacy law does not apply. It never runs inside the Surplu app and never sees your business data. Read our privacy policy.
